Reporting in Position Green is done in segments of years - much like a financial system.
A year is defined by:
- A name - for example, 2018.
- A start date - for example, January 1st, 2018.
- An end date - for example, December 31st, 2018.
You may follow the calendar year or define your own period.
When you start with Position Green the first year will be available immediately.
Creating a new year
You can create more years at any time and create an unlimited number of years.
You create new years in the "Year" menu:
Define:
- A name - for example, 2018.
- A start date - for example, January 1st, 2018.
- An end date - for example, December 31st, 2018.
You may follow the calendar year or define your own period.
Why copy from a previous year?
When copying from a previous year all your entities will be copied and connected over the years. A relationship between them is created. The data collected with these measures is automatically prepared to be shown in visualizations and historical data.
You will be able to follow up on your KPIs over the years. We highly recommend copying the structure when working with annual reporting.
You can choose to copy organization, environmental aspects, and measures.
Year settings
In addition to the name, start, and end date, there are some advanced settings that will be relevant at different times during the reporting period.
On top of the page, you can find the "Edit year" page by clicking the pen as shown in the image below.
In the "Year menu", you can always find which years are visible (eye icon), locked (padlock icon), and what year is set as default (house icon).
Default
When ticked, the year will be the selected year reporters see after logging in. Only one year can be marked as default. If you mark a year as being the default, any other year previously marked as default will no longer be the default.
Visible
If ticked the year is visible to reporters. It should be ticked when reporting starts.
The year will always be visible for users with the Controller role, no matter if it is set to be visible or not. This way a year can be invisible for reporters while setup work is being done to the year, eliminating any confusion for the reporters.
Year locked
When the reporting of a year is over it can be locked. The year will still be visible for the reporters, but no changes can be made to registrations.
This way, once the organization has started using the numbers, new additions cannot be made without prior agreement.
When a year is locked an information bar will be shown to reporters. This information bar will inform reporters of who to contact if a change is necessary.
