Like financial reporting, ESG reporting must reach quality control standards and data must be attested to internally. The Four Eyes principle ensures that two individuals approve of an action before it can be taken.
The first line of approval
Collaborators have the first line of approval. Theis responsibility is to enter the data onto the platform. When Collaborators have finished entering data they must "Notify Responsible." An email is then sent to the second line approver. Collaborators can go into edit mode after they have notified the responsible user.
Notify responsible, where the user Klara Nordström is the responsible.
The second line of approval
Reporters and Supervisors can be the second line approvers. Read more about the Reporter role. The Supervisor ensures that all requested data is reported, the reported data is within reasonable deviation to be actual, and if not the Supervisor has the option to send a reminder/an email from the platform asking a Collaborator for additional data.
One out of two collaborators has confirmed their data. All data mandatory data is filled out and the registration can be confirmed.
When the Supervisor agrees on the data, the Supervisor should "Confirm" the registration. With this action:
- the data is signed off as approved by two different people,
- the data is locked. This means the collaborators can no longer make edits to the registration.
The third line of approval
If two lines of approval are not enough, it is possible to add a round of independent approval of the reported data. This would be the administrative user, with setup access.
The third line approver will work mostly in the Manage Data Entries view.
Manage data entries view under Data Reporting.
The third line of approver can easily find all registrations in the setup and their confirmation status. When approval rounds one, two and three have been completed, the registration can be locked.
Once the data is locked, the first and second line approvers will not be able to make any edits.
