- Set up barriers without support
Information barriers can be set up to restrict access to supplier information and supplier survey answers within the organization. Most information barriers can be set up by controllers, but some, such as dashboard accessibility, require support from the Position Green team.
Set up barriers without support
Restrictions can be set to define:
- Who can see which supplier in the supplier overview.
- Who can see supplier responses in the survey overview.
- What is visible in the follow-up overview.
Restrict who has access to which supplier
Step 1. Enable Manage access
Go to Company setup, then Advanced, and select Edit organization. Then tick the Enable manage access for suppliers box.

Step 2. Add the Tenant administrator role to users
Assign at least one user the Tenant administrator role. This role lets the user see all suppliers, change owners and decide who can see which supplier. Read about how to manage users.

Step 3. Set the default access for new suppliers
As a Tenant Administrator, click the user icon in the top right, then click Settings and Permissions.
- ON: All controllers have access to all suppliers by default.
- OFF: Who can access which supplier must be specified manually from the start.

Step 4. Manage access for individual suppliers
Access levels: Go to Suppliers to see the supplier overview and select the supplier to manage access for. Restrict access by user role or by individual user.
- Owner: the default owner is the user who added the supplier to the supplier list. This is mostly relevant if the toggle was set to OFF in step 3, since the supplier is then only visible to the owner until the owner has managed access rights. There can only be one owner per supplier and only the owner can select a new owner.
- Editor: The owner adds the first editors, either as a group or as specific users. Current editors can also add more editors to the supplier.

Step 5. Remove access from a user / change to owner
Click the three dots for a user and select “Change to Owner” or “Remove permissions”. Click “Save”.

Manage information in the Analytics view
When Manage access is enabled, Analytics is only available to users with the Tenant Administrator role.
Why only "Tenant Administrator"?
Due to complex data sorting, access to information cannot be restricted within Analytics. However, shared Analytics views can be created in read mode and shared with users in the organization based on their access roles.
Once a user has been added to a shared Analytics view, Analytics View appears in the sidebar.
Follow the step-by-step guide: Advanced functions.
Manage access for dashboards and visualization
Contact the Sustainability Platform Team for support. Access is restricted at dashboard level. This affects what type of data visualizations can be contained within the dashboard.
Before contacting the Sustainability Platform Team, define:
- Which users or user groups should have access to what?
- Which KPIs, answers or assessments should the users be able to see?
