What is a recalculation?
When data is reported, Position Green calculates results such as emissions, totals and KPIs. These calculated values are saved with the registration and used in Tabulate, Analytics, dashboards and exports.
If something behind a calculation changes after data has been reported, a recalculation runs the calculations again for existing registrations. The saved results then match the current setup. Reported data stays the same. Only the calculated values are updated.
When is a recalculation needed?
A recalculation is needed when a change affects periods that already have reported data. For example:
- An emission factor is added or updated for a period that already has data.
- A calculation formula in a measure is changed.
- A measure point is added, removed, or changed in a measure that is already in use.
- A default or pre-defined value is added after the registrations were created.
When is a recalculation not needed?
- Data entered or edited in Data reporting is calculated automatically when it is saved.
- An emission factor that is added or updated for a period with no reported data applies automatically to future reporting.
- Measures that receive Position Green's automatic template updates are recalculated automatically.

After a recalculation, open the registration in Data reporting to see what happened:
- Activity log: At the bottom of the registration, expand the Activity log. A recalculation is shown as "Answer updated with new calculated value", with the date and time it was done.
- Confirmed registrations: After a recalculation, confirmed registrations are automatically confirmed again if they still pass validation. If a registration no longer passes validation, for example because a required field is now missing a value, it stays unconfirmed. The person who confirmed it receives a "Registration unconfirmed" notification: "Unable to confirm the registration after an update. Review the registration and confirm it again." Open the registration, fix the highlighted fields and confirm it again.
- Locked registrations: Locked registrations are not changed by a recalculation. To include them, they must be unlocked first.
Why do Data reporting and dashboards show different numbers?
Dashboards and reports use the saved calculated values. If the setup changed after the data was reported and no recalculation has been done yet, the numbers can differ. Once a recalculation is done, they match again.
Can calculated values be updated manually?
Yes, for a single registration. When a registration is opened in Data reporting, the calculated values are shown using the current setup. They are only saved when a change is made to the registration. To update the saved values:
- Open the registration in Data reporting.
- If the registration is confirmed, click “Unconfirm”.
- Edit any field, for example re-enter a value, and leave the field so it is saved. All calculations in the registration are updated and saved.
- Check the values and click “Confirm”.
The update is shown in the Activity log, and dashboards, Tabulate, and exports will use the new values.
Good to know
- This updates one registration at a time. If many registrations, org.units or periods are affected, contact the Customer Success Manager to recalculate them all at once.
- Locked registrations and registrations with calculation errors are read-only and can't be updated this way.
What if a registration shows a calculation error?
Sometimes a calculation can't be completed after a change to the setup. For example, a formula may refer to a measure point or list item that has no value yet, or that can't be found. If that happens, Data reporting shows a red banner at the top of the registration:

What this means for the registration
- The registration is read-only. It can't be edited, and the “Confirm” and “Unconfirm” buttons aren't shown until the error is fixed.
- Expand the banner to see the details. For each error it shows the name of the affected field, the calculation formula and an error message.
- The reported data has not been lost. The registration is locked only so that incorrect values aren't saved or used in exports.

What to do:
Click the "contact Position Green support" link in the banner. When contacting support, include:
- the measure name
- the org.unit
- the period
- the error details from the banner (a screenshot is easiest)
Position Green support will correct the calculation and update the registration. Reporting can then continue, and the registration can be confirmed as usual.
